Privacy & your information

What we collect

Contributor accounts store your name, email address and a securely hashed password. Observations store photographs, dates, approximate localities and notes. Contact messages store your name, email and message. Cabinet financial records may include contributor names, receipts and payment information entered by authorised staff.

What becomes public

Only reviewed observations are published, showing the contributor’s name, photograph, date, general locality and review notes. Contact emails, passwords, financial records and receipts are not public.

Your photographs

You retain ownership. By submitting, you give the society permission to display your photograph with attribution on this website if approved. This does not automatically grant a reuse licence to other visitors. Uploaded images are re-encoded to remove embedded metadata.

Access, retention & requests

Administrators manage accounts and contact messages. Designated reviewers inspect observations. Only authorised cabinet accounts can access funds and receipts. Account and content records remain until the society reviews their retention needs; financial audit records may need to be retained. Contact the society to request a correction, withdrawal or account removal.

Cookies & external services

This site uses an essential session cookie for sign-in and form security. It does not include advertising trackers. External social links and videos are subject to their providers’ policies. Hosting providers may process access logs; rate limiting uses a hashed network identifier.

Sensitive wildlife locations

Do not submit precise nest, den or sensitive species locations. Use a general locality instead. No exact-coordinate field is required.

This policy describes the included software. The society should review and approve it before public launch and update it when operations change.
